This Privacy Policy explains how Seastack Labs LLC, a limited liability company formed in the State of Delaware, United States, trading as Hotel Optimizers (“we,” “us,” or “our”), handles personal information in connection with hoteloptimizers.com, revenue-review requests and related business enquiries.

We are responsible for deciding how personal information covered by this policy is used. For privacy questions or requests, email [email protected]. This policy provides information about our practices; visiting the website does not constitute consent to unrelated processing.

1. Information covered by this policy

This policy covers visitors, prospective customers and people contacting us on behalf of a hotel or other business. Business contact details can still be personal information when they identify an individual.

It does not replace confidentiality or data-processing terms agreed for a paid management engagement. If we process guest or reservation information on a hotel’s instructions, the relevant service and data-processing agreements govern that activity. Guests should ordinarily direct questions about their booking information to the hotel responsible for it.

2. Information you provide

When you request a revenue review, we collect your name, work email, property name, hotel website, number of rooms and country. You may also provide your current PMS, primary OTAs, approximate monthly OTA revenue and a message. If you contact us by email, we receive your email address, the message and any information you choose to include.

We use the required form fields to understand and respond to the request. Optional fields help us prepare a more relevant review. You may leave them blank. Please provide only information you are authorized to share, and do not send passwords, payment-card details, guest records or sensitive personal information through the public form.

3. Technical information and browser preferences

When your browser connects to the website, our hosting infrastructure receives technical information necessary to serve the page. Depending on the hosting configuration, access and security logs may include an IP address, request time, requested URL, browser or device information, referring page and error details. This information supports website delivery, troubleshooting and protection against misuse.

The website reads your browser’s language and region settings locally to suggest a supported currency. If you choose a currency, it saves that choice in your browser’s local storage under “hotel-optimizers-currency”. The preference is not an account or an advertising identifier. It remains until you change it or clear this site’s browser data, and it can synchronize between tabs in the same browser.

You can remove the saved preference through your browser settings. If storage is unavailable, the currency selector continues to work for the current visit. Currency selection does not change the terms or billing currency of a service agreement.

4. How we use information

We use enquiry and contact information to respond to you, assess whether our services suit your property, prepare and discuss a requested revenue review, and communicate about a possible engagement. We may use information as necessary to maintain business correspondence, resolve questions or disputes, meet legal obligations and protect our legitimate rights.

Technical information is used to operate and secure the website and diagnose problems. Your saved currency preference is used to display localized prices and examples. Submitting an enquiry does not subscribe you to a marketing mailing list.

We do not use this website to make solely automated decisions about you that produce legal or similarly significant effects. Illustrative pricing charts and currency calculations are explanations of our services, not automated decisions about your business.

5. Legal grounds for processing

Where applicable data-protection law requires a legal basis, responding to business enquiries and communicating with a company’s representatives relies on our legitimate interest in conducting and developing our business. Operating and protecting the website relies on our legitimate interest in providing a reliable, secure service. These interests must be balanced against your rights and reasonable expectations.

Where you personally are a prospective contracting party, processing necessary to take steps at your request before entering a contract may instead rely on that basis. We may also process information where necessary to comply with a legal obligation or, where required, with your consent. You can withdraw consent by contacting us; withdrawal does not affect processing that was lawful before it was withdrawn.

6. Sharing and service providers

Enquiries may be handled by people authorized to respond on our behalf and by providers supporting website hosting, form delivery, email and business communications. When form delivery is enabled, submitted details are sent to the service configured to receive our enquiries, together with the website source and submission time. We do not publish your form submissions.

We may disclose relevant information to professional advisers or authorities where reasonably necessary to obtain advice, comply with law or a valid legal request, establish or defend claims, or protect against fraud and misuse. If a business transaction affects the operation of Hotel Optimizers, relevant information may be disclosed or transferred subject to applicable confidentiality and data-protection requirements.

We do not sell personal information collected through this website or share it for cross-context behavioral advertising. Any providers handling information for us should receive only the access appropriate to their role and applicable contractual obligations.

7. International processing

We are a United States company, and information sent to us may be processed in the United States or other countries where the providers supporting the service operate. Data-protection rules may differ from those in your country.

Where a transfer is subject to restrictions under applicable law, an appropriate transfer mechanism is required. Depending on the destination and provider, this may involve an adequacy decision, approved contractual safeguards or another lawful basis. 8. Retention and security

We retain personal information for as long as reasonably necessary for the purpose for which it was collected. Technical records may be retained for operational and security purposes according to the relevant provider’s settings.

The website’s form handler does not maintain its own enquiry database or deliberately write enquiry contents to application logs. This does not mean that information is immediately deleted: delivery services, email systems and subsequent business records may retain it. When information is no longer needed, it should be deleted or anonymized, subject to applicable retention requirements.

We use appropriate technical and organizational measures for the nature of the information and processing. No internet transmission or storage method is completely secure. Please use the public form only for the business enquiry details requested, and contact us before sharing confidential operational data.

9. Cookies, analytics and tracking

The current website does not include third-party advertising pixels or audience-analytics scripts. Its currency preference uses local storage rather than a tracking cookie. Infrastructure providers may process technical information needed to deliver and secure the website.

We do not track visitors across third-party websites for advertising, and the website does not change its behavior in response to a browser’s “Do Not Track” signal. There is no sale or behavioral-advertising sharing on this website to opt out of. If our tracking practices change, we will update this policy and provide any choices or consent controls required by law.

10. Your rights and requests

Depending on where you live and the law that applies, you may have rights to request access to or a copy of your personal information, correct inaccurate information, request deletion, restrict or object to certain processing, and receive eligible information in a portable format. These rights are subject to applicable conditions and exceptions.

To make a request, email [email protected] and describe what you would like us to do. Contacting us from the email used for your enquiry can help us locate the relevant information. We may need proportionate additional information to verify your identity or a representative’s authority. Please do not send identity documents unless we request them through an appropriate channel.

We will consider and respond to requests within the period required by applicable law. If we cannot fulfill a request, we will explain the reason where required. You may ask us to reconsider a decision by replying to our response; where a statutory appeal right applies, we will handle the appeal accordingly. You may also complain to the data-protection authority or regulator responsible for your jurisdiction. We do not discriminate against you for exercising applicable privacy rights.

11. Children and external websites

This website is intended for business users and is not directed to children. We do not knowingly solicit personal information from children under 18. If you believe a child has submitted information, contact us so we can assess and address it.

Third-party websites and platforms operate under their own privacy policies. This policy does not govern information you provide directly to an OTA, a PMS provider or another external service.

12. Changes to this policy

We may update this policy to reflect changes in the website, our practices or applicable requirements. The effective date at the top identifies the current version. Where a material change requires additional notice or consent, we will provide that notice or obtain consent as required. An update does not itself authorize an incompatible new use of information already collected.
